office organization
Organizing your office is an important step to making it extremely functional and conducive to working.  Whether your office is located in the corporate world or you have a home based business it needs to have a professional air.  Since you probably spend as much time in your office as you do anywhere else, it should be a comfortable place to work as well as professional.

To make your office more functional you need to:
1.    Consider space requirements when arranging your workspace
2.    Keep frequently used equipment within reach
3.    Keep desk, drawers, and filing cabinets organized
4.    Eliminate unnecessary equipment and furniture
5.    Add some personal touches
6.    Control the room’s temperature

Here are quick tips to organize your office:

Consider Space Requirements When Arranging Your Workspace

No matter how small your office is, it is very important to have ample space for you to work.  Arrange furniture and equipment to make it easy to walk around the room.  For example, make sure that all furniture is placed so that it doesn’t block your pathway when it is necessary to go from your desk to a filing cabinet.

Keep Frequently Used Equipment Within Reach

To have a functional office you need to have things that you use often within easy reach without creating a room full of clutter.  For example, the phone should be on your desk for easy access.  Needed supplies like pens, paper, and paperclips should be placed near you without leaving them scattered all over your desk.  Place them in an appropriate container either on your desk or in a close-at-hand drawer.

Printers, scanners, fax machines, and other office equipment do not necessarily have to be on your desk.  If they are not, they should be conveniently located on a table beside or behind you.  If you have clients that visit your office, make sure your computer monitor isn’t situated so that it blocks the line of sight between you.

Keep Desk, Drawers, and Filing Cabinets Organized

Besides keeping every day items located near you in an organized manner, it is necessary for you to maintain tidiness in your drawers and cabinets.  Make use of office supply trays and baskets to neatly arranged items and rid the clutter from your work area.  Filing cabinets should be properly labeled to make it easier to locate documents and files.  Make use of plastic sleeves and envelopes to help you get organized.

Eliminate Unnecessary Equipment and Furniture

Take a look at all of the equipment, furniture, and fixtures in your office and get rid of all that are non-functional or unneeded.  Use a sleek table or shelve in place of a bulky piece of furniture. Replace outdated equipment with a multi-function piece like an all-in-one printer/scanner/fax machine/copier to save a lot of space in your corporate or home office.

Add Some Personal Touches

Your eyes need to rest to avoid straining them when you work long hours at your computer.  The experts suggest that you look away from your monitor every few minutes to reduce eye stress.  To give you a reason to look away, hang  a few pleasing paintings on walls and place some photos on your desk.  If your office has windows, leave the curtains or blinds open unless the view is unpleasant or distracting.

Control the Room’s Temperature

Lastly make sure your office is well-ventilated to make it a better place for you to work.  Nobody wants to work in an uncomfortable room that is either too hot or too cold.  Control the temperature so that your working conditions are at their best.

To allow you to work efficiently in your corporate or home based business office, it is imperative that it is both comfortable and functional.  Organizing your office may take time and effort, but it is worth it.  You will find that by doing so your job will be a lot easier.
